A residential school activity trip is often one of the highlights of a child's time at school. It may well be the first time that a pupil has been away from home and family and as such marks an important step in their development towards adulthood. A trip with Rockley Adventure is a unique experience combining social, physical and environmental experiences that provide youngsters with a sense of freedom and adventure which in turn improves their self-confidence, motivation and personal abilities. Above all, the trip is great fun!

At Rockley we all recognise our responsibility to provide a safe and enjoyable, residential activity trip for the young people in our care. We understand that sending your child on a trip without you can be a bit daunting. We hope that the information below will answer any questions you may have, however If you have a query, which is not answered here or in the materials sent home from school, we will be delighted to answer any questions you might have. Parent Pupil Information Leaflet

The Parent Pupil Information Leaflet gives you an idea of the adventure trip your child is about to experience. In it you will find information regarding the location, the full range of activities we offer and the safety procedures we adopt to ensure that as a parent/guardian, you are more than happy to entrust your child with us. The guide will also answer many of the questions you may have.

Why Rockley?

Hopefully you have been pointed in the direction of this site by your son or daughter's school or youth group leaders. If so, then they have made a great choice in asking Rockley Adventure to deliver their latest outdoor adventure programme.

Here at Rockley Adventure we constantly strive to make life as straightforward as possible for everyone involved in the planning and organisation of a school or group adventure trip, whilst at the same time, never losing sight of our core values of safety and quality in everything we do. With that in mind, we thought we should outline just a few of the reasons why schools and youth groups choose our activity packages to deliver what they need.

The Safe Choice

Both in terms of safety management at our centres and our ability to reliably deliver a 'high quality' outdoor learning experience, Rockley Adventure is 'The Safe Choice' when it comes to group activity provision. This commitment to safety and quality is reflected in the recognitions and accreditations that we have gained and been awarded.

Outstanding Quality

In the period January 2013 - September 2013, 100% of group leaders rated their activity experience as good or very good and said they would recommend Rockley Adventure to others. Our 2014 season feedback forms are not all in yet but the initial feedback is fantastic, with our group leaders, rating their trips with the highest possible scores across the board.

Vast Experience

We have nearly 40 years experience of offering engaging activity programmes to young people and in 2014 we will look after in excess of 5000 young people across our 5 locations. Our staff are some of the most highly qualified in the industry and are at the forefront of developing good practice in the outdoor activities industry.

Financial Security

Established in 1976, Rockley has been in the schools activity trip market for a very long time, however, for added peace of mind, any trips that fall within the scope of the European Package Travel Regulations 1992 are protected by way of an insurance policy arranged by IPP London. This means that your money is safe in the event of our financial failure.

How it Works

Take a look below. Hopefully, it will help make sense of the trip booking process for parents.

  1. School makes a provisional booking
  2. School invites pupils
  3. Parents and pupils accept invitation and usually pay a deposit
  4. School acknowledges place on trip and asks for deposit if not already paid
  5. School confirms number of pupils on trip and pays Rockley
  6. School collects further payments as per their own payment schedule
  7. School pays Rockley by way of 2 or occasionally 3 further stage payments
  8. School request various medical, dietary and safety infomation from parents and let's you know what is required in the way of passports and EHIC cards etc
  9. Parents will receive a kit list well in advance of the trip. Don't worry. Rockley trips don't need any specialist equipment or loads of new clothes.
  10. Pack their bags and get them to school

Travel Insurance Documents

Please make time to read and understand the Travel Insurance which provides cover for your child on their Rockley Adventure Trip.  The full policy wording can be viewed on the link below.  It is important that you understand the extent of cover provided by the policy and in particular any exclusions or limitations to the insurance cover.  A separate tab in this section provides information on making an insurance claim.

How to Make an Insurance Claim

In the unfortunate event that you need to make a claim on the insurance policy, the claim forms that you require can be found below.  

Please notify your child's Group Leader and Rockley Adventure that you will be making a claim (by email is simplest).  In order to submit a claim you will be required to provide the following information:

your child's school name
your child's school Rockley Adventure Booking Reference*
any Rockley Adventure cancellation invoices/Confirmations of Booking/Certificates of Insurance requested to be sent with any claim form, will be sent direct to Endsleigh on your behalf, as long as you have notified your Group Leader &/or Rockley Adventure of your intention to make a claim

Cancellation (insurance excess of £50)

If your son/daughter withdraws from the trip you MUST notify your child's Group Leader as soon as possible, as the date of cancellation of an individual is the date of receipt of written notification by the Group Leader to our office in Poole. If the reason for cancellation, eg necessary cancellation due to illness or injury, falls within the terms of the travel insurance policy you may be able to reclaim any cancellation charges by making a claim.

Cancellation Charges are payable as follows:

Time before trip start date Cancellation Charge
Upto 1st February in year of trip 1st deposit
From 1st February to within 2 months of trip start date 1st & 2nd deposit
Within 2 months of trip start date Full cost of trip

Medical Expenses (insurance excess of £50)

The page link below is a guide that provides all the necessary details about the UK Global Health Insurance Card (GHIC) that it is the new Health Card for the UK.

If your child requires emergency medical treatment during the trip and costs are incurred which are not covered by their GHIC you may be able to claim for these under the travel insurance policy. You will be required to submit all receipts for prescriptions, medicines, hospital services etc.  Please bear in mind that invoices for hospital services can take many months to arrive, which can be long after your child's return to the UK! These should be paid and then an insurance claim made.

Loss, Damage or Theft (insurance excess of £50)

Please remind your child that all reasonable steps should be taken to safeguard personal property. The insurer will not provide cover for valuables left unattended on a beach for example. All losses or thefts MUST be reported with 24hrs of discovery to the Group Leader and to our centre manager who will contact the Police if necessary.  In the event of damage this must be reported to the centre manager who can complete an Insurance Report. Original copies of any Police or centre manager reports together with invoices or receipts will be required to substanstiate all claims.
